The Hopin Backstage is a private video chat that allows Speakers and Organizers rehearse before going live in front of attendees.

Accessing the Backstage

The Stage segment in Hopin comes with a dedicated Backstage where broadcasting Speakers to the Stage happens.

Organizers can find the Backstage details on the Stage/s tab of the event dashboard.

First, choose the relevant Event from the Dashboard on your Organization account.

Then, click on the Venue > Stage/s tab, select Hopin Backstage on the right and click Copy Link at the right of the Segment Backstage Link field.

Note: Make sure the Stream provider option is set to Hopin for the Backstage options to appear.

Preparing for your Stage presentation from the Backstage

Once on the Backstage, you will see the Welcome screen.

Click on the Share Audio and Video button at the center of the Backstage to choose your webcam and microphone.

Tip: make sure to allow your web browser (Chrome or Firefox) to access Microphone and Camera on your computer. Check out our troubleshooting articles for Windows & Mac.

Note: The sound and video you get at the Backstage is for the Backstage only at this point. You are safe to test before going live and the event attendees will not be able to see you rehearsing.

With Audio and video checked, click the Broadcast button to start displaying the Backstage video on the Stage.

Note: There's a small delay between stages: the main stage will be 10-15 seconds behind the backstage.

Tip: To avoid the sound echo, please mute all other tabs with sound besides the Backstage. We recommend muting and ignoring the main Stage to stay focused on your presentation in the backstage. You can still monitor and respond to questions from attendees in the Event chat tab.

The live indicator on the top left corner of the screen will tell you that your Backstage is Live and the attendees are now watching you on the Stage.

Clicking on the Stop Broadcasting button will stop the stream for the attendees. Click that when your Stage segment is over or click Leave to leave the Backstage any time.

What is the reset button on the backstage?

When streaming into the stage and you face any issues, you can reset the stage (by using the yellow reset button at the top right) to get things going again.

Please have in mind while streaming via RTMP that using the reset button automatically generates a new RTMP key for the stage. You can then input the new key into your streaming source.

Also, using the reset button means the recording for the stage will be split into two parts: stream before the reset and after the reset.

Backstage presentations are more fun with multiple Speakers around.

Simply share the Backstage link to your Speakers. Once the Speaker signs in to their account and clicks on the Ask to Share Audio and Video button, the Organizer will receive a request to speak on the Moderation panel at the bottom of the screen.

Note: Speakers do not have to be listed under the Speakers tab of the organizer Dashboard to access the event Backstage via the link. Any registered attendee who receives the Backstage link (typically sent by Organization admin or Event admin) can access the Backstage and request permission to Share Audio and Video.

Click on the Profile photo of the Speaker and they will come live together with you.

Note: you can have up to five Speakers on one screen at the Backstage and up to 500 people can follow the Backstage link and watch the preparation for the main Stage event there.

Only one person can share his screen per time. With one person using the screen share option, the screen share icon will be greyed out for the other presenters/speakers.

If you have 4 speakers for a session, and one of them decides to share their screen, the Screenshare will be counted as the 5th person.

Coordinating Speakers

The Backstage comes with a dedicated Backstage chat where Organizers can communicate and coordinate Speakers, discuss feedback or share ideas.

Send any directions, ask feedback and coordinate the schedule for the Speakers on the chat that is visible only to the Speakers with the Backstage link.

You're able to mute speakers' audio for yourself and for everyone, but note that only speakers will be able to unmute themselves.

Privacy alert: Please share the Backstage link wisely to prevent trolls or irrelevant people from accessing the Backstage of your event.

Note: If you need to remove a speaker from the broadcast, you can click the red dot by their name (at the bottom left) to pull them off screen.

Tip: Check our Stage tutorial for more information about the event Stage and Speaker instructions.
